Example 1.

Charter

This document describes the purpose and objectives of the [XXX[CB1]] Community of Practice.

Definition 

A Community of Practice (or CoP) is a form of knowledge network that exists and is supported by [company]. CoP’s provide an environment where knowledge sharing can take place in a particular practice, bridging geographic boundaries and organisational silos.

At this point in time formal CoPs in [company] are supported by either Business Leadership Teams or Capability Leadership Teams.

Purpose 

The CoP has been formed to provide a group learning environment for people involved in a related practice across [company].

CoP’s have three facets that define them and their purpose.

Domain 

  

The Domain is the area of knowledge that the CoP will deal with. This can be as broad as a Capability (e.g. Engineering) or constrained to a particular discipline (e.g. Mechanical Engineering).

The Domain for this CoP is [AAA].

Community 

The Community of a CoP is the target audience. The community will have a common interest in the Domain and shall be practitioners of the Practice (e.g. all staff working on IT projects).

The Community for this CoP is [BBB].

Practice 

The Practice is the activity that members undertake. This is usually a subset of the domain (e.g. The Domain is Power but the Practice is design of Wind Farms).

The Practice area for this CoP is [CCC].

The CoP is sponsored by [committee] and [executive].

Objectives 

The[XXX]CoP shall aim to achieve the following objectives.

  • [These objectives should have a development and improvement focus and not tangible outcomes (e.g. Foster the sharing of experience and lessons learned in the designing of Wind Farms)].

Roles & Responsibilities 

The CoP shall have the following roles with the listed responsibilities:

Activities 

The CoP shall undertake a variety of knowledge sharing activities to achieve it’s objectives. These may take the form of:

Annual Symposium

An annual activity where CoP members meet face to face for a day of workshops and discussion aimed at improving their knowledge of and quality of their practice. 

·Budget availability. Sponsorship from CLT/BLT. Value proposition.

·Identify internal and external speakers. 

·Work with Learning and Development Team (People) on format. 

Tele-Forum 

Monthly 

A teleconference once a month to discuss situations, ask questions and share experiences. 

·Coordinate time and Webex facility. 

·Facilitator for the teleconference 

·Record actions – follow up, sharing document etc.. 

Online Forum 

Ongoing 

A facilitated online forum where questions can be asked and resources and experience can be shared. 

·Sharing facilitator responsibility (rotating fortnightly – everyone has a turn) 

Lesson Learned Library 

Ongoing 

Collecting and sharing lessons learned into a central repository for sharing. 

·Submitting of learnings. 

·Searching the repository before you start a piece of work. 

Peer Assist 

When Required 

Bringing together people who have worked on similar projects in the past to share their knowledge with a new project. 

·Appropriate people to have involved (similar project, same client, same partner/alliance, same supplier, same site). 

·People’s availability. 

·Appropriate medium (Face-to-face, online, teleconference) 

  


 [CB1][NOTE: Naming your CoP – Try to give your community an identity instead of just calling it the XYZ CoP. Look for parts of your capability that represent sharing, transfer or improvement (e.g. hub, nexus, static, undergrowth etc..)]
